The goal of a conference is to gather an audience to share ideas, carry out solutions, or improve expertise in an industry.

When hosting a conference, it’s important to align your goals while keeping attendees engaged and informed throughout the event. The best way to do this is with a thorough and informational conference schedule.

Start with a Rough Outline to Cover the Basics

Where is it being held? Who will be presenting? What time will each section or speech take place? These basic facts are almost always present on a conference schedule. Creating a rough outline that lists the most important details helps you begin to think about the smaller details. Get the main points down first and move on from there.

Fill in Spaces with Relevant Details

Once you have a basic idea of the event, fill it in with details like the presenters, their position/occupation, and the topic of the speech or demonstration. Include some added details about each topic. Not all attendees take part in or listen to each presenter at a conference, so including details about each is important.

Space out each session so that the attendees have some time to relax and mingle between sessions, and include times and locations of breaks and whether or not there will be refreshments served.

Keep Things Interesting

The information on a conference schedule is not the only relevant factor. The way your schedule looks is also important. Stay on brand – that is to say, use the same colors, fonts, and other elements on your schedule. Visually interesting schedules make your event memorable as well as easy to read and follow. Include your company logo, images, or headshots of speakers where you can. You can find simple templates to follow here.
